HRMS Implementation Guide — Live in 7 Working Days
How NeuralHR.AI onboards a 50-person SMB from kickoff to live payroll in seven working days. Day-by-day plan, data-migration checklist, parallel-payroll runbook, go-live criteria and the six most common risks with mitigations.
The 7-day schedule
Trial sign-up + kickoff scheduled
- Sign up for free trial with work email — no credit card required
- Tenant created in under 60 seconds
- Implementation manager assigned and kickoff call booked within 24 hours
- Pre-kickoff data list shared (employee CSV template, salary structures, leave policies)
60-minute kickoff call + data prep
- Confirm scope: how many entities, which countries, which integrations
- Walk through the data CSV template — fields, formats, common pitfalls
- Configure your tenant: company logo, currency, default leave year, payroll cycle
- Decide on cutover date — typically end-of-month following kickoff
- Add 2–3 admin users; set up role-based access
Bulk-import employee master + salary structures
- Export from your current vendor (Bayzat / ZenHR / Keka / greytHR / Excel — wizards for each)
- Run NeuralHR.AI import wizard; review validation warnings (missing visa expiry, salary band gaps)
- Bulk-import salary structures with pro-ration rules
- Import historical leave balances + gratuity / EOSB accruals + PF/ESIC YTD
- Spot-check 5 random employees against your old system
Wire up WPS / Mudad / EPFO / banks
- Connect your salary-disbursement bank (UAE WPS-approved banks, Indian salary banks, KSA Mudad gateway)
- Configure statutory authorities: WPS bank account, GOSI registration, EPFO establishment code, ESIC code, PT/LWF state codes
- Generate a sample SIF / Mudad / ECR file for your first cycle and validate format with the bank
- Set up TDS slabs + investment-proof workflow for India entities
Connect SSO + accounting + Slack/Teams
- Configure SAML or OIDC SSO with Google Workspace / Microsoft Entra / Okta
- Connect accounting (Tally / Zoho Books / QuickBooks / Xero / NetSuite) — bidirectional sync
- Install Slack and / or Microsoft Teams app for the AI Employee Support agent
- Connect biometric devices (ZKTeco / Suprema / Hikvision) for shop-floor / multi-site teams
Run a parallel payroll cycle vs your current vendor
- Run NeuralHR.AI payroll for the current cycle alongside your existing vendor
- Reconcile per-employee differences — gross, deductions, net, statutory contributions
- AI anomaly detection flags any discrepancy before submission
- Investigate any difference > 1% (typically a stale allowance or rounding rule)
- Generate the SIF / Mudad / ECR file in parallel; compare bytes
Send app invites + train managers
- Send NeuralHR.AI app invites to all employees (email + SMS / WhatsApp)
- Employees set passwords, enable MFA, complete profile (typically 5–10 min per employee)
- 30-minute live training for managers on approval flows + dashboards
- Open AI Employee Support agent for staff questions
- Confirm 90%+ employee app activation before cutover
Final cutover + decommission planning
- Run live payroll on NeuralHR.AI for the new cycle
- Submit WPS / Mudad / ECR through NeuralHR.AI for the first time
- Cancel old vendor at end of current billing cycle (NeuralHR.AI retains a 90-day archive of imported data for audit)
- Schedule day-30 review with implementation manager to address edge cases
- Implementation manager hands over to customer success manager (CSM)
Parallel-payroll runbook (Day 5 in detail)
The single most-skipped step in HRMS rollouts. Run a parallel cycle on NeuralHR.AI alongside your existing vendor and reconcile per-employee variances before going live. Avoids the month-1-after-cutover surprise that plagues most failed HR migrations.
Six risks and how we mitigate each
Risk 1: Bank rejects the first WPS / Mudad submission
We validate file format against the bank during Day 3. If the bank uses a non-standard SIF variant, we update the format library before live submission. Average of 3 days lead time before going live.
Risk 2: Historical leave balance discrepancy
Day 2 import validation flags any employee whose leave-balance import is inconsistent with policy. Manual reconciliation typically takes 2–3 hours for a 50-person team.
Risk 3: End-of-service gratuity opening balance disagreement
We import the figure provided by your existing vendor. If your CFO disputes the number, we generate a per-day-worked recomputation report so you can reconcile against contracts.
Risk 4: Employees don't activate the app
Day 6 reminder cadence + WhatsApp Business notifications. Customers who hit < 80% activation by Day 6 get 1 extra day of training before cutover.
Risk 5: PF / ESIC YTD migration error
Day 2 spot-check on 5 random employees catches most issues. Full-team validation by your finance team before Day 5 parallel cycle.
Risk 6: Integration with old accounting system breaks the journal export
Day 4 includes a test journal export to your accounting system. Errors investigated same day; native connectors for Tally, Zoho Books, QuickBooks, Xero, NetSuite.
Go-live criteria — pass before Day 7 cutover

- Salary structures validated for 100% of employees
- Statutory file generated and validated against bank format
- Parallel payroll cycle reconciles 100% with existing vendor
- Accounting system journal export tested
- SSO connected to your identity provider
- ≥ 80% employee app activation rate
- Manager training session completed
- End-of-service / gratuity / PF YTD opening balances signed off by finance
- Implementation manager + customer success manager handover document signed
Frequently asked questions
Can a 50-person team really go live in 7 working days?
Yes — that's the median for SMBs whose data is reasonably clean (employee master, salary structures, leave balances in some structured form like Excel or another HRMS). Teams migrating from completely manual spreadsheets typically take 10–12 days because data clean-up takes longer.
How long does a 200-person team take?
10–14 working days. The data-migration step (Day 2) takes longer with more entities and salary bands. Implementation manager runs an extended kickoff (90 min instead of 60) and adds a Day 4.5 reconciliation checkpoint.
What about a 1,000+ employee enterprise?
4–8 weeks with a partner-led implementation. Multi-country setups (UAE + KSA + India in one tenant) typically run 8 weeks because each country needs separate validation. Dedicated implementation manager + named CSM included on Enterprise tier.
Do I need to clean my data before kickoff?
Helpful but not required. The Day 2 import wizard surfaces validation warnings (missing visa expiry, blank salary structures, employees without entity assignment). Common pre-cleanup steps: standardise designation titles, ensure every employee has a joining date and an entity, normalise leave balances to days.
What if my current vendor won't export my data?
Most vendors must allow data export under standard SaaS terms and increasingly under GDPR / UAE PDPL. If your vendor is uncooperative, NeuralHR.AI can rebuild employee master from your payroll bank statements, contracts and leave system independently — adds 2–3 days to the implementation.
Can I run NeuralHR.AI and my old HR system in parallel for longer than one cycle?
Yes. Most SMBs run parallel for 1–2 cycles to build confidence. Some industries (regulated healthcare, federal-supplier) run parallel for 3 cycles. Both subscriptions cost during parallel — typically 2 months of overlap. NeuralHR.AI doesn't charge extra for the parallel mode.
Who runs the implementation — NeuralHR.AI staff or my HR team?
Hybrid. NeuralHR.AI's implementation manager runs the technical setup, data import, statutory wiring and integrations. Your HR team owns the data quality, employee app rollout and stakeholder change management. Typical HR-team time investment: 30–40 hours across the 7 days.
What happens after Day 7?
Implementation manager hands over to a customer success manager (CSM). Day-30 review covers any post-go-live issues. Day-90 review tracks adoption metrics — app activation rate, AI Action Credits consumed, payroll cycle time. Quarterly reviews thereafter for Growth / Enterprise customers.
